How much time will the Collaborative require from our team?
Here's how the time breaks down:
Weeks 1-3 (Envision & Survey): Time investment front-loads here as we work with your leadership team to articulate your unconstrained vision, identify constraints, and develop your integrated AI strategy. Expect 12-15 hours combined per week from your champions, 4-5 hours from executive leadership (After the 2-day leadership retreat)
Weeks 4-8 (Fortify & Blueprint): As we move into building solutions, the time becomes more implementation-focused. Your champions spend combined 10-12 hours per week testing prototypes, providing feedback, and beginning to use early solutions. Leadership needs 2-3 hours weekly.
Weeks 9-12 (Build & Inhabit): We're refining solutions and training your team to inhabit the new ways of working. Champions spend combined 8-10 hours per week as they become power users. Leadership needs 1-3 hours weekly.

How is the Heartcraft Collaborative different from hiring a consultant?

Do I need to have my team prepared before applying?
Not fully prepared - but having leadership buy-in is essential before you apply.
What You Need Before Applying:
Executive Director/CEO Commitment - Your ED/CEO needs to be personally engaged and ready to participate at least once monthly. This isn't something you can delegate fully to staff. Leadership participation signals to your team that this transformation matters.
General Readiness - You should have:

- Willingness to invest time and resources in this journey
- Capacity to dedicate 2-3 AI Champions during the intensive (typically in the areas of fundraising, programs and operations, in addition to the ED)

Is the Collaborative consulting, training, or something else?
Think of the Collaborative as a transformational experience that combines the deep customization of consulting, the structured learning of a cohort program, and the peer support of a community - all focused on supporting you in architecting the future of your organization with AI as an ally in your mission. Think of it as having a dedicated AI transformation team working alongside you for 12 weeks, then supporting you for the long haul.
Is AI safe for donor data?
Yes, when it's set up the right way. We use private, secure tools, share only the minimum information needed, and keep donor records in your CRM. Ultimately, you decide what data the AI can access and how it's used. We also recommend that nothing donor-facing goes out without human review.
Will AI replace staff?
Our goal is capacity, not headcount cuts. AI removes repetitive, mechanical tasks so your team can focus on what matters most - donor relationships, programs, and strategy.
We're new to AI and not very "techy." Can we still succeed?
Absolutely. We pride ourselves in creating custom AI-powered solutions your team loves to use because they actually make work easier! We ensure adoption by working with you to train and coach your team until the new way feels like "home".
Do we need to have an AI governance policy in place?
You will want to have a clear AI governance policy in place, and if you don't have one, we'll work with you during the Fortify phase of the program to help you draft and implement one. In the meantime, if you'd like to get started working on one now, here are a couple of excellent resources.
Policy4good.ai enables you to quickly and easily draft a comprehensive AI governance policy. At the very least, this is a great starting place to quickly create a document you can bring to your Board to review.
Fundraising.ai has created a very comprehensive sample AI governance policy that you can access here. This policy is quite detailed, but again, may serve as a great starting place for your organization.
As you work through the process, the way to think of an AI governance policy is like the "building code" when building a house. It's meant to provide clear guidelines, but it's not meant to be a creative document - that's where your overall AI strategy comes in, which is more like the "blueprint" for your home.
What if our Board is hesitant about this investment?
It's healthy for your Board to want all the information necessary to make a significant investment decision.

What if AI technology changes dramatically during or after our cohort?
Our goal is to support you in building capacity to adapt continuously, not just implement fixed solutions. So, as AI advances, we keep you apprised of those changes, and their application, and when necessary, we update your AI tools to take advantage of those advances. As AI evolves, it's also important to evolve your AI Governance and Strategy. We'll share recommendations for those updates through the Collaborative as well as during your Annual Strategy Review.
